      One of the largest soda ash manufacturers achieves 50% higher efficiency in their sales process

      This organization is one of the largest chemical companies in India with operations in India, Europe, North America and Africa. The story of the company is about harnessing the fruits of science for goals that go beyond business. They operate through two verticals - Basic Chemistry and Specialty Chemistry. The company’s Basic Chemistry product range provides key ingredients to many of the world's leading brands for glass, detergents, pharma, biscuit manufacturing, bakeries and other industries. They have the largest saltworks in Asia, and are the 3rd largest soda ash manufacturer and the 6th largest sodium bicarbonate manufacturer in the world.

      Initial Situation & Challenges

      The company needed a solution to manage their purchase orders (POs). They received the PO PDFs via email, the data from which was manually entered into SAP by a dedicated team of members to generate a corresponding sales order (SO). They needed an automated solution for their SO creation process in SAP from these incoming PO PDFs.

      They handle a large amount of POs while tending to a large customer base. Having to manually generate sales orders was a time-consuming and error-prone process. Also, the delay in data entry was slowing the process considerably, due to manual effort and error corrections.

      Solution presented by Symtrax

      For the PO to SO process, customer and material codes are mapped from a PO to their SAP database to retrieve essential information. Upon successful verification, a SO is created in the SAP system, with all relevant data updated in real-time. The officials are informed about the same via an email notification. Similarly, in case of data mismatch or duplication, a corresponding SO is not created, and email notifications are sent regarding the same. Compleo Hybrid is able to handle all the business cases and errors intelligently. What’s more, it automatically creates and reports the SO or its issues to the relevant authority.

      • Implemented complex data mapping and end-to-end automation of the PO to SO process, eliminating strenuous manual procedures.
      • Minimal essential data is now mapped from the PO PDF and their internal database to retrieve all relevant information for each SO.
      • Compleo checks for compliance with all business rules (duplication checks, price checks, quantity checks, etc.) resulting in greater efficiency.
      • Can now create sales orders and send them to SAP with eased backend business processes for them.
      • Lastly, thanks to its process automation solution, they could do away with additional resources needed for manual processes by intelligently automating repetitive tasks.

      Result

      Evidently, the company reported 76% reduction in data reconciliation errors, 90% savings in terms of resources, and 95% elimination of manual dependencies. In comparison, with the automation of their sales process, they are now able to handle requests and orders almost 2x times faster and with lesser data ambiguity. Having introduced the benefits of process automation into their business model, they now look forward to inculcating a more automation-dependent business environment.
