Campus Condorcet, a research hub bringing together eleven academic and scientific institutions, needed to optimize its supplier invoice management to improve efficiency.
With a small administrative team, they faced a complex and time-consuming workload, particularly because of:
- A high volume of low-value invoices for book acquisitions for the research library, building maintenance, and operating expense
- Construction work invoices, some of which could reach several million euros.
On average, the accounting team had to process 500 invoices per month, representing a real organizational challenge with only two full-time equivalents (FTEs) dedicated to this activity.
Initial Situation: A Manual, Laborious, and Time-Consuming Invoice Management Process
The entire workflow was manual, creating several repetitive and low-value tasks:
- Downloading invoices from the public Chorus Pro portal.
- Copy and save invoices into supplier folders.
- Manually enter data into the ERP system (SAP/SIFAC).
- Verify and reconcile data between Chorus Pro and SIFAC using Excel exports.
