Certificate, encryption, numbering system, QR code and digital signature requirements are specific to each country. The same goes for e-invoice formats such as Factur-X, UBL, and CII, or generic formats like XML and PDF/A3. Compleo Hybrid is an off-the-shelf solution offering customization through templates. There are several structured formats used for e-invoicing, depending on regional standards and requirements: 

  • Factur-X: A hybrid format combining XML (CII16b) and PDF (PDF/A3), required under the European Union’s e-invoicing standard EN16931. CII (Cross Industry Invoice) is a standard developed by the United Nations Centre for Trade Facilitation and Electronic Business (UN/CEFACT).  
  • UBL 2.1: Universal Business Language, an open XML-based standard for electronic business documents, including invoices. 
  • Other formats include EDIFACT, TRADACOM, X12, XML, and JSON, which are used in various industries and regions worldwide. 

No, an invoice sent by email as a PDF attachment is not considered a formal electronic invoice. A proper e-invoice is created in a structured digital format, such as XML or EDI, which allows accounting systems to process it automatically without manual intervention. For example, an XML-based e-invoice contains machine-readable data fields like invoice number, date, and total amount, enabling seamless integration into financial software.
